PROPOSAL COORDINATOR

We are currently looking for a Proposal Coordinator to coordinate proposal activity and ensure that proposals for electrical and instrumentation projects meet Pronghorn standards and are submitted with complete information and meet client deadlines.

Title: Proposal Coordinator

Primary Objectives:

  • Develop and implement corporate proposal processes 
  • Develop and maintain a proposal database for backlog analytics

POSTION SPECIFIC RESPONSIBLITIES:

  • Review and distribute contract documentation, set timelines and deliverables.
  • Assist in identifying proposal requirements.
  • Download RFP setup in shared electronic Project Folders and coordinate RFP communication with clients (clarifications etc.).
  • Provide interface between sales, estimating and proposal activity.
  • Follow up to determine award status of submitted proposals. Obtain feedback on submitted proposals and update Sales CRM System (Customer Relationship Management System).
  • Maintain Estimating Folder with current proposal documents.
  • Complete new job award set-ups in electronic project folders.
  • Schedule bid review meetings; actively participate and/or take minutes.
  • Contribute to proposal strategy by supporting win tactics and writing various proposal sections.
  • Ensure all proposals are delivered to clients in a high quality, professional format.
  • Develop standardized documents and document processing in accordance with Pronghorn’s QMS standards.
  • Ensure document control, create filing system and ensure most recent revisions of contract documentation.
  • Manage brochure content, working with various stakeholders to develop information.
  • Maintain inventory of corporate presentations and update as required.

KNOWLEDGE, SKILLS AND ABILITIES:

Business diploma or degree an asset 3 years of experience in the oil and gas industry, electrical/instrumentation sector or construction industry Strong oral communication skills and written English business writing skills Intermediate to advanced Microsoft Office skills – Word, Excel, PowerPoint, MSProject, Outlook Exceptional organizational skills and detail orientation Ability to exercise judgment, decisiveness, and creativity

 

WORK ENVIRONMENT:

  • Office environment, travel to worksites and various locations for client meetings.
